Stock Controller

To help manage the company’s Inventory as such that we can supply to meet customer demand whilst keeping the overall values and targets within agreed levels. To ensure we maintain the OTIF level for our customers.

Support other operational departments as well as the external sales team in the company’s endeavour to continually improve customer loyalty and gain new business.

Reporting to: Senior Operations Manager (working closely with Stock Admin colleague)

Direct Working Relationships: Stock Control Administrator, Senior Operations Manager, Project Managers, Sales Director, Product Development, Warehouse Manager and Supervisor, Customer Services & Accounts Department.

Responsibilities

Departmental Work Tasks

• Ensure continued excellence in service and support both internal and external customers.

• Maintain stocks to agreed levels by planning and forecasting requirements by use of Stock Management Report, APO & SAP planning, Purchase order and MRP systems.

• Build and maintain good relationships with supplier contacts establishing best practice to ensure supply continuity.

• Continue to work with the Group Purchasing Department, when necessary, ensuring supplier changes/requirements are discussed at top level.

• Proactively identify changes in demand, potential shortages before they occur, any supply problems and supplier concerns and ensure that any problems are handled and resolved correctly and in a timely manner. Communicate to relevant staff and escalate where necessary.

• Advise, help, and assist your stock admin colleague in work tasks and support training where necessary.

• Challenge current working practices so that you can suggest and implement changes or improvements to supply related process, methods, and procedures. Strive to improve the business by continuously improving the department.

• Work in line with customs processes and procedures in addition to the Warehouse & Distribution Manager ensuring that both imports and exports are accurate, and the paperwork reflects the shipments received and despatched.

• Be responsible & accountable for the department ensuring procedures are followed and all aspects of Health & Safety requirements are adhered too.

• Raise and process Purchase and Inter-Company transfer orders for replenishment of inventory and non-stock items.

• Process ‘Work Orders’ for items that require either Kitting, assembly, or Re-work.

• Regularly work with the Data analyst to provide data to evaluate customer demand, forecasts and manage proactively to prevent out of stocks.

• Attend regular Operational meetings with colleagues and be prepared to discuss further detail regarding stock levels, challenges and provide solutions.

• To work closely with Winkhaus Group colleagues to share best practice. This will mean travelling to Europe to work alongside other purchasing/stock control managers to gain insight and deliver improvements within the UK.

Core Competencies

• Experience in spreadsheet analysis & presentation

• Experience in SAP – Purchase Order, Sales Order & Planning modules sufficient abilities to integrate the system such that all questions relating to Inventory control, customers’ orders, sales history, and planning can be answered fully.

• Planning routines and MRP understanding, you are the expert.

• Business Warehouse – ability to understand the workings and construction of reports.

• Product Knowledge – Be able to discuss with technical department the product requirements and its capabilities.

• Personal Organisation – organised and efficient, adopt a systematic and structured approach to tasks with the ability to prioritise and deal with interruption.

• Good customer Service attitude – positive, friendly, and enthusiastic to customers& with a ‘can do’ attitude.

• A team player who will look to support colleagues to deliver against objectives.

• Proactive – ability to work on own and deliver against deadlines.

• Ability to construct reports and presentations to others, 9am meeting and the monthly Operational meeting.

• Adaptability –receptive and reactive to situations and change, flexible, react quickly and implement in a positive manner and make the best of any situation.

• Good Administrative Skills – follow things through to ensure they are completed within timescales and invest time to check details for accuracy. Adopt and promote best practice and make recommendations for improvements.

• Initiative – use initiative to resolve queries and problems but able to ask for help.

• Ability to work under pressure methodically and with consideration.

Measures and Reports

• Ensure that all product stock levels and values are analysed & maintained using the Stock management report (SMR).

• Communicate the need for demand supply forecasts for other business departments and individuals.

• Complete monthly APO planning processes ensuring that all other forecasts, SAP are maintained and up to date.

• Be proactive on customer requirements that exceed normal demand or may trigger any stock issue and apply changes to SAP for production planning.

• Continually build on and maintain all relationships with Intercompany and third-party suppliers.

• To complete on time monthly reports as agreed.

• To propose better management of the company stocks and planning routines.

• To work to departmental targets.

• Continually measure the SMOI levels and make recommendations to prevent the level increasing and products which may require writing off.

Qualifications

• An excellent knowledge of SAP across supply chain functions and the interaction with other SAP modules.

• Excellent Communications skills both verbal and written across all levels of the business.

• MS Office functions

• Ability to analyse data and create presentations to discuss at the Monthly operations meeting.

• Ability to mentor colleague where the knowledge expertise is different.

• Skill set to enable training of others.

• Knowledge of International freight/forwarding and customs clearance procedures

Department Procedures

• Ensure all department procedures are correct and update and that anyone within the department is working to them. Make recommendations for improvements to deliver efficiencies.

• Continually review workloads for master key requirements and set out work priorities. Review with colleague.

• Annual stock take to be carried out at the end of the year, following the procedures set and for the reports to be provided to Aug Winkhaus (4310) and Financial Director (4300) once completed.
